ETS - Evergreen Treatment Services

SMART Management Newsletter – Winter 2010

evergreen treatment services logo newsAnother prestigious treatment facility has selected SMART Software, and this has expanded our reach to the USA’s West Coast. Evergreen Treatment Services (ETS) in Seattle and Olympia, WA installed SMART in April, 2009. Evergreen Treatment is a private, nonprofit organization which has been delivering evidence-based addiction treatment services to citizens in Western Washington since 1973. Led by Ron Jackson, M.S.W., Executive Director and Sam Cullison, M. D., Medical Director, ETS has earned a nationwide reputation for excellence in the treatment of opioid dependence and other addictive disorders. A staff of over 80 professionals currently provides treatment to approximately 900 patients at three clinics.

Since its beginning in 1989 the research department has been an integral part of overall agency operations. Under the direction of Betsy Wells, Ph.D., the clinic’s research team has been involved in a number of important studies designed to enhance understanding of treatment of addictive disorders. Over the past 10 years, ETS’ research department has played a principal role in over 11 major federally-funded research projects on topics ranging from the effectiveness of acupuncture in the treatment of cocaine dependence, to brief interventions for HIV risk reduction among injection drug users, to the impact of contingency management on methadone treatment outcomes. The results of these and other studies have been published in prominent peer-review professional journals.

Ron Jackson is on the National Steering and Executive Committees for National Institute on Drug Abuse (NIDA) and recently spoke on the potential of EMR’s for research purposes. Research funding has been provided by government agencies, private foundations and corporations. Ron Jackson is also on the AATOD Board of Directors, another position that recognizes his expertise in the field of substance abuse treatment. ETS performed a great deal of due diligence before selecting SMART. According to Ron Jackson, “We wanted a product that would move us more effectively into a new era. I was actually a slow adapter until we met that one that met all our needs. Ninety percent of our patients are public paid, and our provider needed to provide billing and accounting that our homemade system couldn’t accommodate. We also needed a system that integrated multiple treatment units including a treatment van.”

John Brooks Recovery Center (JBRC)

SMART Management Newsletter – Spring 2009

John Brooks Recovery Center (JBRC)The John Brooks Recovery Center (JBRC) was founded in 1969 in Atlantic City by a group of six Atlantic City residents with the assistance of the Episcopalian Diocese of New Jersey. Today, JBRC is a comprehensive, multi-modality, Atlantic City based addiction treatment facility with 125 employees treating up to 700 patients at any given time. Under the direction of CEO Alan Oberman, JBRC operates two residential and four outpatient treatment programs, as well as mobile treatment with a 40 foot bus that dispenses methadone and Suboxone® to addicts at the local rescue mission and another inner city “spot”.

JBRC has been a customer of SMART for several years and uses the software throughout its facilities including the mobile unit. According to Alan Oberman, “The SMART software is easy to use, is very helpful for quality assurance, compliance, service reminders and for billing procedures and comparison of services. With a budget in excess of $8 million, we need to have continuous, up-to-date data to stay on track.”

Alan is a life-long resident of New Jersey. He holds a Masters in Social Work and is a licensed alcohol and drug clinician with more than twenty years experience in counseling, program administration and private practice. He believes strongly in the mission of JBRC to provide quality, scientifically based, individualized substance abuse treatment services to NJ residents for the reduction and elimination of the harm caused by substance abuse. Some of his goals for JBRC include establishing new residential facilities and expanding the outpatient services in other communities.

Michael Carruthers, Assistant Director SMART Software Division, stated, “We are very grateful for our relationship with the team at John Brooks Recovery Center. They say that life is a Journey; and when you work with Alan Oberman, you are sure to learn a thing or two – whether it is about Woodstock in 1969 (Alan has a classic picture in his office of him, long hair and all, enjoying being stuck in a traffic jam at Woodstock) or more importantly how to set a vision for your team and make it happen in a systematic way. We would also be missing the mark if we did not mention his right hand man, Bob Addesso, who helps keep the wheels moving in their large operation.”

JRBC is a fine example of the SMART customers who have taken a leadership role in the treatment of substance abuse in their respective areas. We are pleased to have the opportunity to work with Alan Oberman and the entire team at JBRC, and we look forward to assisting them as they continue to serve the residents of New Jersey.

Benefits of Electronic Health Records Designed for OTPs

about-smart-ehr-software

If you’re an opioid treatment professional, you likely know the benefits of electronic health records. But, you may also know how frustrating an EHR can be if it’s not designed to handle your unique workflows.

Why Addiction Treatment Workflows Matter

President/CEO David L. Piccoli, II receiving RI Governors Award for quality performance.

2006 – President/CEO David L. Piccoli, II receiving RI Governors Award for quality performance

In 1991 David Piccoli, II began working as an Administrative Assistant at Discovery House. Soon after he was inspired to increase the clinic’s efficiencies. He thought there must be a better way to manage the facility’s endless flow of patient records, billing, and paperwork. “I just saw it to be very chaotic,” Piccoli recalled. “Nobody had access to information quickly.” But Piccoli wasn’t satisfied with any of the electronic-records products then on the market.  The majority of EHR’s focused on just one piece of the business, such as third-party billing or clinic records. “No one ever really combined everything,” he recalled.

So, Piccoli decided to create the EHR he wanted. He partnered with a computer programmer who was also an old family friend, Paul LeBeau. Together, they built a new clinic management software application for Discovery House. The idea was to digitize and automate a facility’s paperwork, from patient dosing and drug testing to scheduling and third-party billing. It worked so well that they formed SMART Management, Inc., to offer the program to other clinics. This EHR, the SMART Solution, was an integral part of making Discovery House such a successful organization.

Streamline clinic operations, bring down expenses & reduce errors

Years later, SMART continues to grow into one of the most highly regarded EHR solutions for OTP’s. This cloud-based EHR is powered by Amazon Web Services (AWS), a world-renowned and trusted hosting solution. AWS is HIPAA compliant, helping covered entities subject to regulations process, maintain, and store protected health information. Learn more about the impact of HIPAA on end-users and EHRs.

With SMART’s EHR, providers have robust automation capabilities to manage an entire clinic’s operations. This software is exclusively for organizations offering opioid treatment and serves addiction treatment providers in 30 states/territories. “We’re what you’d call a one-stop-shop,” said Piccoli. “It’s everything. From the moment a patient calls the facility, we track all the information.” Once a clinic decides to purchase SMART’s EHR, an implementation expert visits the facility to ascertain its requirements. During set-up, SMART reviews settings with treatment programs to ensure they match various kinds of operations.Addiction Treatment Software in Camden

As the nation continues to deal with the rising cost of health care, electronic medical records are often cited as a way of bringing down expenses while reducing errors and improving care. Not surprisingly, Piccoli is a firm believer in the benefits of tracking patient information electronically. “I don’t understand how anybody can operate without it,” he said.

EHR Implementation and Training at ASSMCA

Part of what makes this EHR effective, Piccoli said, is that it allows counselors to input patient information directly and those with authorization can also easily access a patient’s complete history at the facility. “One of my big pushes when we developed this, early on, was not to make it a data-entry product – to truly make it a product people would use,” he said. The sensitivity of the information also makes safeguarding privacy a key concern for the company’s programmers. After they log into the system, clinic employees are shown a different window based on their access privileges – so a receptionist sees only the scheduling calendar, while a doctor or a counselor can access full patient records.

Additional benefits include patient-centered design, 100% paperless operations, instant and secure data, live and on-call support, and free updates. Modules in The SMART Solution help to increase admissions, streamline dosing, reduce risk, promote team collaboration, accelerate test results, and maximize revenue. Learn more
