How do I prepare for the implementation of a new electronic health record?
First, SMART will assign you a dedicated Implementation Advocate to work with your organization’s project leader. The Advocate guides your staff throughout the installation project. How will my clinic’s data be transferred to the new system?
SMART works with your IT team to obtain a copy of your database. This happens during the assessment phase of the implementation. From there, we evaluate the data elements you want to convert to the new system. Then we establish a draft conversion for your review. To determine what data elements you wish to capture, our team collaborates with you to securely transfer your sensitive data to our protected systems. Specifically, by using one of several of our private and encrypted data transfer tools. Finally, we do a draft conversion in the weeks before. What is the difference between EMR and EHR?

Can another provider takeover a Telehealth session if the scheduled provider cannot make a Telehealth appointment?
Yes. The provider on the appointment in the Scheduler should be updated to the staff member that will be providing the service. The Telehealth session will update accordingly and the newly-scheduled provider will see this appointment in the Telehealth Portal.
My appointment started late or is running long. Will my session end after the scheduled end time?
As long as the attendees joined the meeting before the scheduled end time, the meeting can continue for as long as necessary.
Attendees will be prevented from joining the meeting after the scheduled end time. If you still would like to conduct this Telehealth session, update the appointment time in the Scheduler to match when the appointment will actually take place.

Telehealth appointments can be conducted with any patient who is schedule-able in the Scheduler, which includes any patient that has a record in Smart.
Why doesn’t the Telehealth Listings page show all of my Telehealth Sessions?
The Staff Member Telehealth Listings page displays the current day’s Telehealth sessions. If a particular session is not displaying, refresh the page and confirm that the user is listed as the provider on Telehealth Appointment in the Scheduler.
The Listings page is a one-stop-shop for Telehealth Sessions, meaning that Smart users at multiple clinics will see all sessions on this page. This is done by matching the staff member’s username that they use to log into Smart to the directory username listed in user settings. If one specific clinic is missing for a user, there may be an issue with the username matching. System administrators should confirm that a directory username has been entered in each Smart account for this user and that it exactly matches their Smart username.
Can I have an impromptu Telehealth session?
Yes. To conduct a on-demand Telehealth session, create an Individual Appointment for the patient, setting Telehealth to Yes. If you are within 15 minutes of the scheduled start, select “Edit Event” and then select “Resend Telehealth Meeting Information”. This will ensure the patient receives the link for the Telehealth session.
You must schedule an appointment for each Telehealth Session as this prevents unauthorized access. Additionally, you’ll be able to write up your notes from the Scheduler as you do with all other appointments.
